Cancellation & Refund Policy

Trinaya Healthcare MedExpo 2026 (the "Event"), presented by Trinaya Healthcare and organized by Blinkspot (collectively, "Event Management", "We", "Us"), is committed to providing a transparent and fair policy regarding cancellations and refunds for all participants.

This policy applies to all registered Attendees, Visitors, Exhibitors, Sponsors, and Partners of MedExpo 2026. Please read this policy carefully before completing your registration or financial commitment.

All cancellation requests must be submitted in writing to the official Event email: sales.thcexpo@gmail.com & fincare@blinkspot.in

1. Policy for Attendees & Visitors

This section applies to individuals registered for delegate passes, visitor passes, workshop tickets, or any other form of individual attendance.

1.1. Attendee Cancellation Requests

Cancellation 90+ days before the Event: A full refund of the registration fee, minus a [10%] processing fee.

Cancellation 60-89 days before the Event: A [20%] refund of the registration fee.

Cancellation less than 60 days before the Event: No refund will be issued.

1.2. Substitutions (Registration Transfers)

Registrations may be transferred to a colleague or peer from the same organization at no additional cost. Substitution requests must be submitted in writing by the original registrant at least 20 working days before the Event.

1.3. Non-Attendance ("No-Show")

No refunds will be issued for non-attendance at the Event, regardless of the reason.

1.4. Ancillary Purchases

Fees paid for special add-on items, such as gala dinner tickets, separate workshops, or networking cocktails, are non-refundable, unless otherwise specified during their purchase.

2. Policy for Exhibitors

This section applies to all companies or organizations that have booked booth space or a "shell scheme" package.

2.1. Cancellation of Booth Space

The booking of exhibition space is a binding contract. Cancellation requests must be submitted in writing by an authorized representative of the exhibiting company. The following cancellation charges apply based on the date of receipt of the written cancellation:

Cancellation 180+ days (or 6+ months) before the Event:
Full refund of deposit/fees paid, minus a [10%] administrative and marketing fee based on the total contract value.

Cancellation 120-179 days before the Event:
Full refund of deposit/fees paid, minus a [25%] administrative and marketing fee based on the total contract value.

Cancellation 60-119 days before the Event:
Full refund of deposit/fees paid, minus a [50%] administrative and marketing fee based on the total contract value.

Cancellation less than 60 days before the Event:
Full refund of deposit/fees paid, minus a [90%] administrative and marketing fee based on the total contract value.

2.2. Liability for Payment

If the exhibitor cancels under terms where a portion of the contract value is still due (e.g., a Full payment with only 70% paid), the exhibitor remains liable for and will be invoiced for the outstanding balance, which is due immediately.

2.3. Reduction of Space

A request to reduce the size of a booked booth will be treated as a partial cancellation and will be subject to the cancellation charges detailed in Section 2.1, applied to the value of the space being relinquished.

2.4. Non-Payment

Failure to meet the payment deadlines outlined in the Exhibitor Contract may be considered a cancellation by Event Management, and the terms of Section 2.1 will apply. The booth space may be resold without any obligation to refund payments already made.

3. Policy for Sponsors & Partners

This section applies to all companies or organizations that have entered into a sponsorship or partnership agreement with MedExpo 2026.

3.1. Nature of Agreement

Sponsorship and partnership agreements are marketing contracts designed to provide brand visibility and other benefits before, during, and after the Event. Due to the high-value, promotional nature of these agreements, they are generally non-refundable.

3.2. Cancellation by Sponsor/Partner

General Policy:

All sponsorship and partnership fees are non-refundable once the agreement is signed.

Non-Payment:

Failure to pay sponsorship fees by the agreed-upon deadlines constitutes a breach of contract. Event Management reserves the right to terminate the agreement, cancel all associated benefits (including brand placement, speaking slots, etc.), and retain any payments already made. The Sponsor/Partner will remain liable for any outstanding balance.

Exceptional Circumstances:

Any consideration for a partial refund or credit for a future event, in extreme and unavoidable circumstances, is at the sole discretion of Event Management (Trinaya Healthcare and Blinkspot).

4. General Terms (Applicable to All)

4.1. Event Cancellation or Postponement

Event Management reserves the right to cancel, postpone, or move the Event to a virtual-only format due to circumstances beyond its reasonable control (a "Force Majeure" event). This includes, but is not limited to, natural disasters, acts of war, terrorism, government regulations, public health crises (e.g., pandemics), or venue unavailability.

If Postponed:

All registrations, exhibition bookings, and sponsorships will be automatically transferred to the new dates. This policy will apply to the new dates as if they were the original dates.

If Cancelled:

Event Management will determine the refund policy on a case-by-case basis, taking into account the non-recoverable costs and expenses already incurred. Our primary goal will be to issue a partial refund or, preferably, a credit of equivalent value for a future event.

Liability:

Event Management shall not be liable for any other costs, losses, or damages incurred by the participant, such as travel, accommodation, or marketing material production costs.

4.2. Policy Modifications

Event Management reserves the right to modify this Cancellation & Refund Policy at any time. Any changes will be posted on the official TrinayaHealthcare MedExpo 2026 website.

Important Notice

  • All cancellation requests must be submitted in writing and will be processed based on the date of receipt.
  • Refunds will be processed within 30-45 business days of approval.
  • All refunds will be made to the original payment method used during registration.
  • Processing fees and deductions are non-negotiable and are calculated to cover administrative costs incurred.
  • By completing your registration or entering into an agreement with Event Management, you acknowledge that you have read and agree to this Cancellation & Refund Policy.

Acknowledgment: By registering for MedExpo 2026, booking exhibition space, or entering into a sponsorship agreement, you acknowledge that you have read, understood, and agree to abide by this Cancellation & Refund Policy. This policy forms an integral part of your agreement with Event Management.
